ERP systems hold the most valuable operational and financial data in an organization. They are also among the hardest sources to report on directly. Schemas are large, documents have life cycles, and business meaning is spread across many tables.
Understand document life cycles
Most ERPs distinguish draft, submitted and cancelled documents (ERPNext uses docstatus 0, 1 and 2). Reporting on drafts or cancelled records is one of the most common causes of wrong totals.
Headers, lines and ledgers
- Header tables hold document-level data such as supplier, date and status.
- Line tables hold item-level detail such as quantity, rate and warehouse.
- Ledger tables (stock ledger, general ledger) are often the most reliable source for balances and movements.
Choose the right grain for each analysis and reconcile header totals against line sums.
Extraction options
| Approach | When it fits |
|---|---|
| Change Data Capture | High-volume tables, near-real-time needs |
| Scheduled incremental loads | Moderate volumes with a reliable modified timestamp |
| API extraction | SaaS ERPs or when direct database access is not permitted |
Conform master data
Suppliers, items and customers often differ between sites or instances. Build mapping tables and conformed dimensions early.
Reconcile with finance
Before going live, reconcile warehouse totals against ERP standard reports for a closed period. Finance sign-off is the strongest signal of trust a data platform can earn.
